We now seek a Salesforce and Planisware System Administrator for 12 months, to be based out of our London office.
Role Responsibilities
To ensure the effective operation, integration, and continuous improvement of the Salesforce and Planisware platforms. This includes maintaining data integrity, enabling process automation, and aligning system capabilities with business objectives. In Salesforce, the focus is on supporting CRM processes, governance compliance, and business insight generation. In Planisware, the emphasis is on project delivery, resource management, and reporting.
Collaboration with RED process owners, delivery teams and Tractebel counterparts is essential to ensure alignment and consistency across shared systems and processes.
Systems Management
- Maintain and enhance Salesforce and Planisware environments, including user roles, permissions, workflows, backend data and license allocation.
- Monitor system performance and resolve technical issues in collaboration with Tractebel and IT support teams.
- Manage user access and license allocation to ensure compliance, security, accessibility and accurate budget reporting.
- Act as RED’s Pillar of Knowledge (PoK) for system queries, escalating to Tractebel support as needed.
- Liaise with Tractebel’s Salesforce and Planisware communities to align on shared initiatives and system activities.
- Oversee integration between Salesforce and Planisware, ensuring accurate data flow from opportunity to close out.
- Troubleshoot data exchanges with connected systems such as SAP and Sezame.
- Maintain Stage & Gate activities in Planisware, working with the relevant process owner to ensure associated procedures and templates support governance and enable effective project lifecycle tracking.
Project delivery and process management
- Ensure effective resource management and utilisation across the business by
- Collaborating with relevant stakeholders to implement consistent processes for project resourcing.
- Collaborating with delivery teams to ensure accurate and timely resource assignments.
- Monitoring resource data for forecasting, capacity planning, and utilisation.
- Supporting tools and processes that improve visibility of resource deployment across the portfolio.
- Collaborate with business process owners and stakeholders to align system functionality with operational needs and governance standards.
- Ensure effective CRM management across the business by working with key process owners and stakeholders to implement consistent processes that support data quality, governance compliance, and actionable insight generation.
- Provide training to end users, deliver inductions and 1:1 coaching on systems and processes.
- Prepare and maintain process documents and templates to support consistent system use.
- Present at Project Management Clinics to advise on new and updated processes associated with systems.
- Lead and contribute to lessons learnt sessions and gather feedback on system usability as part of a continuous improvement cycle.
Reporting Management
- Work closely with key stakeholders to ensure that reporting outputs and dashboards are aligned with evolving business needs and provide meaningful, actionable insights.
- Maintain reporting accuracy across Salesforce and Planisware, supporting KPIs and operational insights.
- Participate in programmes to enhance system usability and reporting capabilities
Role Requirements
- Degree in Information Systems, Business Administration, Business Management or related field (or equivalent practical experience).
- Project management qualification (e.g. APM/PRINCE2) or experience—either in a management or administrative support capacity—would be beneficial.
- Proven experience or familiarity administering Salesforce and/or Planisware in a project-based or consultancy environment.
- Understanding of CRM and Project Portfolio Management (PPM) workflows, including opportunity tracking, bid management, and project lifecycle governance.
- Competence in data management and integration across enterprise systems (e.g. SAP, Sezame).
- Proficient in Microsoft 365, including Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience working with project delivery teams, resource managers, and process owners to align system functionality with operational needs.
- Knowledge of engineering or consultancy operations, including client due diligence and commercial workflows.
- Understanding of project and design management principles, reporting methodologies, and quality assurance processes.
- Ability to support improvements in project delivery, resource management, and CRM governance.
- Strong analytical and logical mindset with the ability to prioritise workload and meet deadlines.
- Excellent communication skills, with the ability to liaise effectively with both technical and non-technical stakeholders.
- Confident in delivering training, inductions, and 1:1 coaching, with clear and engaging presentation skills.
- Committed to continuous improvement and enhancing user experience.
- Background in consulting or construction preferred.
- Good understanding of international working and business operations of a global consultancy
